Data Deletion Instructions
How to ask Architera FZ L.L.C to delete personal data, whichever channel it reached us through. These instructions cover WhatsApp, web chat, email, SMS and voice, and any further messaging channel a dealership connects as we make it available.
Who decides on your request
Architera has two roles, and which one applies decides who makes the decision.
We are a data controller for our own business. That covers the account data of dealership users who sign in to Architera, the enquiries people send us through our website, the business contacts we hold for our own sales, and the traffic records from our website. We decide on deletion requests for that data ourselves.
We are a data processor for the customers of a dealership. When a dealership uses Architera to talk to the people who buy or service cars with it, the dealership decides what happens to its customers' data, and we act only on its documented instructions under a data processing agreement. If you are a customer of a dealership, the dealership decides on your deletion request and instructs us.

How to make a request
Email accounts@architera.ai with the subject "Data deletion request".
If you are a customer of a dealership, contact the dealership you dealt with first, because it decides. If you cannot reach it, write to us and include your full name, the phone number or email address you used to contact the dealership with country code, and the dealership's name. We will forward your request to the dealership within 5 business days and tell you we have done so.
If you are a dealership user, owner or administrator, include your full name, your work email address, the dealership and Architera workspace name, the connected messaging account or phone number the request concerns, and the data or date range you want deleted. Say whether you are asking us to delete your own account data or instructing us to delete your customers' data as your processor, as the two are handled differently. Instructions to delete customer data must come from a dealership owner or administrator.
If you are a prospect or made an enquiry, include your full name and the email address or phone number we hold, and tell us that you want your record erased.
Please do not send passwords, access tokens, identity documents, or copies of private message content in your first email. We will ask if we need anything further.
How we verify who you are
Before we delete anything, we check that the person asking is the person concerned, or is authorised to act for the dealership.
We may confirm that you control the email address or phone number you are writing from, check the role your account holds inside Architera, or ask for limited extra information that matches the record in question. We ask for the least we can.
If we cannot verify a request, we will tell you what is still missing. We will not delete or disclose one person's data at another person's request.

If a request is unusually complex and we need longer, we will tell you before the 30 days are up, and explain why.
What deletion means
For data we control, deletion removes or anonymises the personal data covered by your verified request from our active systems.
For a prospect record, this means the personal fields are cleared. We keep the non personal parts needed for counting, so our totals stay correct without identifying you, and we keep a hashed record of the erased address so that it is not researched, imported or contacted again.
For a dealership customer, once the dealership instructs us, we delete the customer's identifiers, conversations, enquiries and related records from our active systems and keep a record, containing no personal detail, that the deletion took place.
What we may keep
We may keep limited records after a deletion where we need them for tax, accounting, regulatory, fraud prevention, security, dispute or legal claim purposes, or until the data is removed from backups in the normal cycle.
Financial and transactional records are kept for as long as the law requires, with personal detail removed where possible. We also keep the audit record of the deletion itself, and a record with no personal detail showing that a person was erased, so that the deletion is provable.
Anything we keep is restricted to the purpose that justified keeping it, and is deleted or anonymised when that period ends.
If you are not satisfied
Tell us at accounts@architera.ai and we will try to put it right. You can also complain to the data protection authority in your country, or to the UAE Data Office where UAE law applies to your data.
If your request concerns data a dealership controls and you are unhappy with the dealership's decision, your complaint is with that dealership, and we will confirm to you that we passed the request on.
